Terms & Conditions

All bookings are subject to the following Terms and Conditions, which become legally binding on acceptance of enrolment by Buckswood Overseas Summer School. Please ensure these Terms and Conditions are read and understood before making a booking, as they cover important details on fees, payments, cancellations, travel, and student welfare.

The School

​

Buckswood Overseas Summer School (BOSS) is an English Summer School in the UK for international students aged 8–17. Students are expected, subject to conduct and ability, to progress through the Summer School Programme.

 

Parents/guardians are those with legal responsibility for the student. They are expected to support the aims of the School, uphold and promote its good name, continue the student’s education at home, and ensure appropriate standards of punctuality, behaviour, diligence, language, and discipline.

 

Fees

 

Fees are due one month prior to the start of the course and include:

​

  • 20 hours of English lessons per week

  • Internationally recognised ESOL exam (Trinity College London)

  • Two full-day excursions and two half-day excursions

  • Museum and attraction entrance fees

  • Full afternoon and evening activity programme

  • Course materials

  • Full board accommodation

  • Laundry service

  • BOSS wristband, diary, and T-shirt

​

  • Optional extras

  • Airport transfers

  • Flights

 

Payment of Fees

​

  • All fees, including deposits and transfers, must be paid at least one month before the start of the course.

  • Bookings and transfers will not be confirmed until all fees are paid in full.

  • Where visa documentation is required, full course fees must be paid before documents are issued.

  • Students will not be permitted to start the course unless full payment has been received.

 

Student Reservations

​

  • A deposit of £250 per booking is required to secure a reservation.

  • Reservations must be confirmed by 31 March 2025; unconfirmed places will be released after this date.

  • Deposits become non-refundable after 31 March 2025.

  • Reservations without a deposit cannot be guaranteed.

Correct Information and Administration Charges

​

  • Parents/guardians/agents are responsible for providing correct student information.

  • Once confirmation documents are received, you have 48 hours to check them. After this period, changes will incur a £25 administration charge.

  • Amendments to Trinity College exam certificates will incur a £50 charge plus postage and packaging.

Bank Charges

​

All bank transfer or credit card charges must be covered by the payee. Buckswood Overseas Summer School is not responsible for any charges incurred.

​

Refund Policy

​

  • Refunds will be made to the account from which original payment was received.

  • If a visa application is refused, fees (minus cancellation charges) will be refunded within 28 days, provided:​​

    • The student has met all visa application requirements.

  • A visa refusal letter is received at least two working days before the course starts.

  • No refund will be made if the refusal is due to the student failing to meet visa criteria.

Cancellation Policy

​

  • Cancellations must be made in writing to the Summer School Administrator.

  • More than 14 days before the course: fees refunded minus deposit and transfers.

  • 14 days or less before the course: 30% of fees, the deposit, and transfers are non-refundable.

Withdrawal Policy

​

  • Withdrawal is defined as leaving after the course has started.

  • Withdrawals must be made in writing to the Summer School Administrator.

  • No refunds will be given once the course has started.

​

Visas

​

  • Some students require a student visa or tourist visa.

  • Arranging the correct visa is the responsibility of the student or agent.

  • No visa documentation will be provided until all fees are paid in full.

​

Student Travel Insurance

​

Student travel insurance is no longer included in course fees. Parents or agencies must arrange suitable travel insurance.

​

Medication Policy

​

  • Medication may only be brought if prescribed, declared on the booking form, and accompanied by a doctor’s note translated into English, signed, and stamped.

  • Unauthorised medication will be destroyed.

  • Group Leaders are not permitted to give students medication under any circumstances.

​

Liability

​

Buckswood Overseas Summer School, its staff, and representatives are not liable for loss, damage, or injury except where required by law. The school will not be liable if services cannot be supplied due to reasons beyond our control.

​

Arrival and Departure

​

  • Check-in for students not using transfers is 13:00–17:00 on Sunday.

  • Departure collection is 10:00–13:30 on Saturday.

​

Flight/Train Windows

​

  • Arrivals: 10:00–16:00

  • Departures: 11:00–18:00

  • Travel outside these times will incur a £150 charge per person.

​

Specific Accommodation Requests

​​

  • Supplementary charge: £150 per week for single/en suite/specific requests.

  • Requests are not guaranteed without payment.

  • Typical accommodation:

    • Ages 8–12: up to 3 other students per room.

    • Ages 13–17: up to 2 other students per room.

  • Limited single rooms available; no en suite rooms for ages 8–11.

Suspension and Expulsion

​​

The Director reserves the right to suspend or expel any student for unacceptable conduct. Fees will be forfeited and return travel costs must be covered by parents/guardians.

Travel

​​

  • BOSS is not responsible for flights, trains, or other travel arrangements.

  • Availability must be checked with the Registrar before booking.
     

Transfers

​​

  • Individual travel details required 1 month before arrival.

  • Group travel details required 3 months before arrival.

​

Extra Night Fee

​​

  • £195 per extra night.

​

Exams

​​

  • Trinity College London certificates are issued electronically.

  • Attendance certificates and reports are given on the last day of school.

  • Minimum stay to sit an exam: 2 weeks.

  • Certificates may take up to 8 weeks to arrive.

​

Lost Property

​​

  • Students are responsible for their belongings.

  • Valuables can be deposited with staff.

  • Lost property returned after departure will incur postage/packaging fees.

​

Booking Confirmation

​​

  • Availability must be checked before booking.

  • No booking is confirmed until a form is completed and a £250 non-refundable deposit paid.

​

Semi-Supervised Time

​​

  • Students aged 13–17 may have semi-supervised time during excursions.

  • They must:

    • Be in groups of at least 2.

    • Wear their BOSS wristband with emergency contact details.

    • Register their phone number with staff.

    • Stay within the set supervised area.

  • Students aged 12 and under are supervised 100% of the time.

Data Protection (GDPR)

​

Buckswood Overseas Summer School complies with the General Data Protection Regulation (GDPR). A GDPR consent form must be received for each student before confirmation documents are issued.
